13th September 2009

Kringe meeting 13th September, 2009, at the Bath house, Gwydir St. Cambridge.

Present:
Andy, Margaret(in attendance), Alan, Matthew, Dave, Andrew, Jim, Catherine, David, Mike and Gill. Guests: Bernard and Danny.

There were no apologies.

We welcome Gill as our new member of the Executive Committee.

Finance

Bank applications have been posted. Expecting them to be returned because of some missing information, we’ll see.

Catherine and Andy to see Yvonne Barr soon, also Matthew will meet Yvonne.

Matthew is now working in Quickbooks and Andy says he is doing an excellent job.


Web design

Jim introduced his colleague, Danny who has 20 years marketing experience, and is happy to help.
2 audiences on web – humans searching for something and robots (needs tagging). Tag is giving it a name/keyword – a tag is for search engine to find things eg use “Kringe”.

Danny advised – the more information you put on the better.

Andy advised something happening everyday on Kringe Blog.

Dance-a-thon

Press Release – “Time To Change” can support, to be written up for “Friends” pages.

Capture on film – further discussion is needed on this. On poster – “A film is being made”

Lifecraft Frontline News deadline coming up.
Amanda Price to work with us.
Public Liability Insurance to be arranged.
Alan to do posters at Lifecraft – as long as not 10,000s.
Amanda Price has done as Internet Mailing.
Andy is going to start working at 209 Radio to learn the skills to launch Kringe FM.

Constitution

The constitution was ratified and signed by Andy, Dave and Mike.

A copy of the constitution to be sent to Yvonne Barr at CCVS.

Finance

Meeting for the finance team has been agreed at 5pm 13th Sept.

Andy to meet Matthew at 10am, 11th Sept.

Catherine and Matthew to make appointment with Yvonne Barr.

All finances to date are correct, recorded and accountable, Matthew to work with Andy to continue doing this.

Writing group

Writing group to meet at 4pm 13th Sept. press release urgently needed.

Dance-a-thon

Andy has visited 2 of the 3 fancy dress shops, wardrobe, Cromwell road has offered us 15% discount for all kringe members. We should post them an article and link on our friends page.

Andy has purchased 2 elvis wigs for a live performance by blind elvis and paranoid elvis.

Encourage people to bring camera along, both video and still.

Andy to speak at Lifecraft members meeting offering our thank’s for their help and support and asking for volunteers for the big day.

Pippa has agreed to let Amanda work with us on this project, I’m sure she’ll be a great asset.

We have a hall booked, a P.A system and music, we have raised enough funds to provide free refreshment, so slip on your dancing shoes and let’s have a party!

Website

Alan to invite all executive members to join our blog. Get involved with our site, visit it on a regular basis.

Alan to meet with expert to discuss web design and marketing strategies.

Media

The Kringe TV channal has been up and going for over a week now.

The desciption of the Channal is as follows:

''The Kringe TV - is an independant channel that list's 'Kringe-Worthy' YouTube films under categories of our choice, including our own in house made films. This TV channel is an off-shoot of the 'The Kringe', which is a Cambridge based organisation that enables local, disadvantaged groups in Cambridgeshire UK to realise their full creative potential''.

In prepartion for the World Mental Health Day film, a story board is being formulated, and things like style and technique are being considered.

A recent Kringe in house 5 min film was filmed, edited and launched on YouTube. The link is below;

30th August 2009

Kringe meeting 30th August 2009, Bath house

Present: Andy, Margaret (in attendance), Alan, Dave, Andrew, David, Catherine and Matthew.

Constitution

Draft copies of the constitution have been given to Catherine, Andrew and Dave to proof read. If all is in good order then a final copy of the constitution must be signed by Andy, Mike, and Dave.

Aims of the group have been agreed as follows: Enabling disadvantaged people to engage in creative and performing arts, while raising awareness, challenging stigma and networking with organisations, throughout the county of Cambridgeshire.

Finance

Bank applications need to be scrutinized by Andy, Mike, Dave and Andrew before sending off to open our accounts.

The finance team has been agreed as follows: Andy, Dave, Andrew, Matthew and Catherine. Dave to be Treasurer for the first year, Matthew as our book-keeper, Catherine our Fundraising co-ordinator and Andrew as our Project finance manager.

All receipts need to be kept and a finance meeting needs to be arranged urgently as we have no money. If all else fails then pray.

Matthew and Catherine to attend a meeting with Yvonne Bar at the CCVS. If ok then Andy will arrange meeting time.

Matthew has produced our first ledger and distributed to Andy, Catherine, Dave and Andrew. Matthew explained as group grows so will sophistication of book-keeping.

Need a lap top for our Treasurer. Matthew to teach finance team basic accountancy, this can be discussed at our first finance meeting.

Website

Alan has set up all blogs and will now sort out logo. Needs navigation to bring everything together.

The design team will be made up of Alan, Jim and David. Are they able to arrange their own meetings and report back to the group on our current status. Alan has increased font size.

Thank’s to David the Kringe TV channel has been set up on You Tube, this is an exciting new venture and one I’m sure David will share with us how we can all get more fully involved.

Writing team

Andy has set up a writing team, their duties will involve the writing of the groups promotional literature and also writing creative begging letters to the rich and famous.

If in agreement Mike should run this group and needs to arrange a time for our first meeting. Members who have initially agreed to join this group are Andy, David, Alan(sleeping partner), Mike and Catherine.

Any other members who may wish to join this group at a latter date, see Mike.

Time plan

One year plan: the executive committee will tackle all the necessary paperwork needed to register as a charity.

The fund raiser will find our group a regular income of over 5,000 pounds a year, which is one of the requirements for registering as a charity.

In October 2010 the Kringe will stage a week long entertainments program showcasing our years work to coincide with mental health week, it will be the best show in town and will put us on the map as serious players who deserve serious funding.

This Organisation supports our three principles perfectly.

Performance/Stigma/Networking.

Part of their Campaign is the ‘Getting Moving’ Week. This is where those with mental illness can encourage the public to join them in a collaboration of physical activity, and breakdown discrimination and stigma, whilst having some fun.

We, at The Kringe, have decided to stage a Dance-a-thon. This will be on World Mental Health Day, Saturday 10th October 2009, 5 pm to 10 pm. This will be staged at St. Paul’s Church, Hills Road, Cambridge.

We need everyone’s full support on this project.

The Kringe will make a film about the Dance-a-thon which could prove dynamic for funding for future projects.

This is an estimated £1000 project, and at present we do not have no where near that much – but we must and will raise it in time.

Lifecraft has offered to provide tea, milk, coffee and sugar, and other useful help.

We will make an appeal to Lifecraft members with volunteers who could help serve the tea and coffees.

Budget for food and drink - £300 and Andrew to manage this Department.

Desperate appeal to all Executive Members – if ten of you donate £20 each and I add a further £100, we would have £300 and another bill would be paid.

This is a non-alcoholic event but the pub next door had agreed to stay open late for us.

The Group welcomed Matthew Barker and
Dave Richardson. Catherine Le Fur was unable to attend this meeting.

1. Constitution:

Andy needs typed copy of Constitution as he cannot read other – this has been arranged.

Constitution (draft copy) to be ready for
Sunday 30 August 2009.

Copies of the draft Constitution to be distributed to appointed Members of the Group for Proof-Reading:- Jim, Dave Richardson (and Bernard Connell), and Mike Hills.

After Proof-Reading – if Constitution is in good order we can open Bank Accounts.

Aims of Group worded by JP, and Group is happy with it.

Minimum/maximum numbers of AGM and General Meetings were discussed and agreed.

The Aim, as previously discussed, and proposed by Jim, has been agreed as follows:

“Enabling disadvantaged people to engage in creative and performing Arts, while raising awareness, challenging stigma and networking with organisations, throughout the county of Cambridgeshire.”

CAN THIS BE PROOF-READ BY THE GROUP NOW.



2. Finance:

After discussion, Andy agreed to appoint
Dave Rogers as Treasurer, afterall he was the first choice.

New Member, Matthew, is training to be an account – has agreed to help with book-keeping and work with other financial group members: Andy, Andrew and Dave.

There is financial training and possible funding to cover expenses such as administration costs. All training and support is free. Andy to meet Yvonne Barr, CCVS, on 10 September 2009.

Matthew suggested using Sage software - Andy stated he would prefer to Excel because it is cheaper and more popular, and we only need to keep basic booking for now – this matter to be reviewed in the future.

Matthew to team up with Dave to produce financial report at our first AGM which is on 2nd August 2010.

Andy to meet Matthew on Saturday 29 August 2009 to update book-keeping.

3. Website:

Alan says we can expand the blog to have three new sites: Home Page, Link to Friends Page, and Events Page, to join up with our Submit Page. This is going to take both time and money.

Matthew stated blog too dark in colour – Andy says has to be as he’s as blind as a bat’!

Dave Richardson has agreed to set up and run Kringe U-Tube site.

Copyright issues discussed – all rights belong to the Owner/Originator.

Alan suggested the site ‘youownit.com’, copyright law.

4. Time Plan:

One Year Plan: The Group has decided to target Organisations in the City of Cambridge only in the first year.

Our Aims in Year One are to establish The Kringe as a Registered Charity. This will allow us greater opportunity to be awarded funding.

We aim to put on a Big Weekend in October 2010, this will co-ordinate with World Mental Health Day.

Five Year Plan: When the first year is achieved, we will have the skills and funding necessary to network with all Organisations across the whole of Cambridgeshire.

After Five Years: We aim to open branches in all five surrounding counties, which, when successful, will complete East Anglia and form The Kringe East.

5. Promotional Materials:

Alan is working on the Logo and Business Cards and will be paid for his time and design.

We need to form a Writing Group whose first aim is to pen our promotional literature. New Group to be proposed and formed at next meeting.

Andy to approach Tony to see if he will donate the original Kringe painting to The Kringe.

Andy has sourced possible funding opportunity to help with immediate promotional materials.

The Group welcolmed Mike Hills – Secretary. Andy explained to Mike what we need to do.

Minutes of Last Meeting:- Training is available from the CCVS with help recording our financial expenditure. Step 8 in the ‘Getting Started’ Pack.

Help with Fundraising is covered in Step 9 of the ‘Getting Started’ Pack. We will deal with this at a later date.

Alan tabled a Dave Richardson Art Card used for ‘What the Butler Saw’ Play, which is the template for The Kringe business cards.

There has been talk of setting-up more blog sites linked into each other. Alan and Jim to look into this.

Andy to ask Dave Rogers if he would mind stepping down as Treasurer – as this role requires a great deal of commitment.

The Roles and Responsibilities of the Chairman/Secretary/Treasurer are listed in the ‘Getting Started’ Pack which is on the CCVS Website.

We have discussed the possibility of arranging a Networking Party – who, when, where and how much would it cost?

Mike agreed to write up the one-year plan and five-year plan for The Kringe. This can be done over a course of weeks, with help from The Team.

We need completion of The Constitution to open The Kringe Bank Accounts, and as we are going to change our Treasurer, the applications need to be changed with the bank. Andy to take charge of this.

We have agreed to open two accounts; one general; one fundraising, requiring any two of three signatures (Chairman, Secretary and Treasurer).

We need promotional literature and membership packs, business cards and headed stationary - this is going to be expensive – where are we going to get the money from?

We would like promotional literature in time for the Mill Road Winter Fair.

We will invest in a franking machine once our bank accounts are in operation.

We have agreed in year one to target organisations within the City of Cambridge only.

Andy to talk to Yvonne Barr, CCVS about Equal Opportunities Policy.

Our first AGM will be on 2nd August 2010.

DRAFT

Jim read out to the Group The Bath House Hiring Agreement Policy – these were accepted by The Group.

Andy explained that he had had a meeting with Yvonne Barr at the CCVS (Cambridge Council for Voluntary Services). They are a Body offering free advice and support to voluntary organisations. They will be a great asset to us ie helping us with the 10 steps in setting up a Voluntary Organisation. The next meeting has been set-up for 10th September 2009.

Andy had previously circulated four items:- Equal Opportunities Guidelines, Flowchart outling 10 steps to setting up a voluntary organisation, notes on drawing up a Constitution, and a copy of a model constitution.

The Kringe had a general discussion on what the objects of their group were – these need to be finalised in order to draw up a Constitution.

We realise the importance of constructing our Constitution so that we may open our Bank Accounts. Andy has suggested we use the Co-operative Bank for this purpose. Initial contact has been made with this said Bank and applications drawn up – just awaiting a copy of The Constitution.

Andy confirmed that the P O Box for The Kringe had been sorted out, = The Kringe, P O Box 698, Cambridge CB1 0NT, and The Kringe telephone number is Cambridge 01223 512872.

Andy said that we were kindly donated two four-draw filing cabinets, and The Kringe had been given an anonymous donation of £1000 to help cover set-up costs.

We decided as a Group we would target Groups in the City of Cambridge in the first year, and to target across Cambridgeshire when we have good working models of projects we hope to achieve.

We currently aim to operate one big weekend each year, showcasing all projects within that year.

The date for our first big weekend has been agreed as Friday 22nd, Saturday 23rd, and Sunday 24th October 2010. Venues to be decided.

The prospects of a Networking Party were discussed – nothing finalised as yet.

There was concern about the article on The Kringe History – this needs to be rewritten – Andy is in agreement but does not want to undertake the work himself. Alan and Jim are to work on this.

Jim suggested that we have a front-of-shop website separate from our creative blog, though linked together. This would show how The Group has been created including Minutes of Meetings. Andy agrees that this would be an excellent idea and would like all the groups we intend to work with to be featured on this site with links to their own web-pages. Alan and Jim to decide how this could be made possible due to the technical difficulties.

The aims of The Kringe were discussed thoroughly – but still need to be finalised.

It is undecided yet which Groups The Kringe can work with.
